Office Administration
RESPONSIBILITIES
1. Administrative & Office Management
Procure, distribute, monitor, and manage inventory of office supplies and office equipment.
Conduct periodic inspections and maintenance coordination for office equipment and facilities, including printers, attendance machines, air-conditioning systems, and electrical & plumbing systems.
Oversee and ensure a clean, organized, and well-equipped office environment.
Coordinate with the Human Resources Department to prepare workstations, name cards, parking arrangements, and onboarding logistics for new employees.
Act as the primary point of contact with external vendors and service providers, including office supplies, courier services, cleaning services, and maintenance/repair vendors.
2. Internal Support & Operations
Arrange business travel logistics for employees, including flight bookings, hotel reservations, and transportation.
Handle advance payments and reimbursement processes for administrative expenses, such as meals, drinking water, office refreshments, and holiday decorations.
Support the organization and execution of internal events, including employee birthdays, new hire welcome sessions, International Women’s Day (March 8), Christmas, Year-End Party, team building activities, etc.
3. Documentation & Records Management
Receive, distribute, and archive incoming and outgoing correspondence; manage company seals and administrative contracts.
Draft internal administrative documents, including announcements, decisions, and standard forms/templates.
Ensure all administrative records and documents are properly maintained, securely stored, and systematically organized.
Perform other tasks as assigned by the Board of Directors/Management.
REQUIREMENTS
College degree or higher in relevant fields such as Business Administration, Human Resources, Office Administration, or Records Management.
Minimum of 1–2 years of experience in a similar administrative or office support role.
Proficient in Microsoft Office applications (Word, Excel, etc.).
Detail-oriented, proactive, well-organized, and highly responsible with a strong sense of ownership.
